A PAYROLL TEAM READY TO SUPPORT
I’ve had the opportunity to interview Pia Rautiainen, HR specialist and Anu Ellwood, HRCoordinator, on one of those days in the end of September when the air around us is crisp and it’s noticeable that autumn is coming.
Why outsourcing payroll? Up till 2004 we had two persons handling the payroll and one decided to leave the company, said Pia Rautiainen. We had trouble in replacing the administrator and the outsourcing idea sprung to mind. We then decided to go this direction instead and VVO has from 2008 chosen to cooperate with Aditro.
Another reason for outsourcing is that VVO has grown. Our HR department have had to support this growth which would have been difficult if we were to do payroll in-house. Our HR department is small and efficient consisting of 4 persons. Today, the HR department is able to provide essential and critical HR services for the growing organization instead of doing all the heavy transactional and time consuming duties.
The payroll process is run by Aditro and they have assigned a customer team of 3 payroll specialists. For instance, the vacation period which was a problem earlier now runs as smoothly as any other period of the year because they cover for each other. We don’t have to worry for not getting our personnel their salaries in time.
Our cooperation is conducted in an organised way and accordingly to Aditro governance model. Meetings and contacts are held at a regular basis and consist of a mix of ways of contact. One example of that is that Aditro is proactive and handles errors. We get an error report each month which we then check and correct together. Aditro guarantee us service according to a service level agreement, which would have been difficult for VVO to organise internally, says Pia Rautiainen. |
–On management level there are regular meetings if necessary, lately the meetings have mostly been on phone as the process runs smoothly, Anu Ellwood added.
On the question if they would recommend others to outsource Pia Rautiainen answers, - Yes, make sure the guaranteed service is regulated and agreed upon. This has saved us a lot of trouble as the payroll process is an important process for a company in size of VVO.

About VVO:
VVO is a housing services provider which means they rent out homes to 38.000 families in Finland. There are 350 people employed at VVO. Approximately 250 of them are in the Helsinki area and the rest located at 10 local offices.
The Human Resource and Finance systems are in SAP and were implemented in beginning of 2004. There has the last years been a growth in the business combined with the usual over time changes in the organization. In 2004 there were 2 payroll analysts.
